Managing appointments
See every booking in a list or a calendar, create appointments on behalf of customers, confirm, reschedule, cancel and complete them.
List and calendar views
Switch between List view and Calendar view with the buttons in the page header. The list is filtered by a single date, a status and a search on customer name or phone. The calendar offers day, week and month layouts, a today button, zoom levels for denser or looser rows, and one column per professional in the day view. On phones the list view is used.
Statuses
| Status | Meaning |
|---|---|
| Booked | Confirmed and on the calendar. |
| Pending | Awaiting your confirmation. Confirm or cancel it from the row actions. |
| Completed | The visit happened and the sale was recorded through the completion screen. |
| Cancelled | Cancelled by you or by the customer. The slot is free again. |
| No show | The customer did not turn up. Counted in the no-show rate on the Revenue page. |
Create an appointment for a customer
- Click New appointment, or click an empty slot in the calendar.
- Choose the Location, then one or more Services. The total duration and price update as you select.
- Pick a Professional, or leave Any available to let the system choose.
- Choose a Date and one of the free time slots. You can also type an off-grid time; the form warns you if it overlaps.
- Enter the customer's Name and Phone. The phone number is required because it is what the customer uses later to find, move or cancel the booking. Email is optional.
- Save. The customer receives the same confirmation email as for an online booking.
Reschedule
In the calendar, drag a booked or pending appointment to a new time or professional. Completed, cancelled and no-show appointments cannot be moved.
Complete an appointment and record the sale
Click Done on an appointment to open the completion screen. It is pre-filled with the booked services at their current price. From there you can:
- Add extra services, products from your inventory, or custom items, and adjust quantities and unit prices.
- Apply a discount (fixed amount or percentage) and record a tip.
- Choose the payment method: cash, card, bank transfer, online payment, gift card or voucher, split payment or other.
- Add internal notes.
- Review the materials that will be consumed and any insufficient-stock warnings.
Confirming records the sale, deducts stock and marks the appointment completed in one step. Completed appointments feed the Revenue reports.
Cancel
Use Cancel in the row actions and confirm. The customer can also cancel or move their own booking from the link in their confirmation email, using their phone number.
